Access control replaces keys with smart credentials — fobs, cards, PINs, or biometrics. Here's how the different systems work and which one is right for your property.
What Is an Access Control System?
An access control system is an electronic security measure that restricts and manages entry to a building, room, or area. Instead of (or in addition to) a mechanical lock and key, access control uses electronic credentials — a fob, card, PIN, fingerprint, or face scan — to grant or deny entry.
Access control systems are used everywhere from small offices and apartment blocks to hospitals, data centres, and large commercial campuses. They give building managers detailed control over who can go where, and when — and provide a digital record of every entry and exit.
Types of Access Control System
There are several main categories, each suited to different property types and risk levels:
- Key fob / proximity card systems — The most common type. Users carry a small fob or card that they present to a reader at the door. No PIN required — fast and convenient. Fobs can be immediately deactivated if lost, eliminating the need for lock changes. Ideal for offices, gyms, blocks of flats, and HMOs.
- PIN entry keypads — Users enter a numeric code to gain access. Low cost and easy to install, but codes can be shared or observed. Often combined with a fob system for two-factor authentication.
- Biometric access control — Uses a fingerprint, iris scan, or facial recognition to authenticate users. Highly secure as credentials can't be shared or lost. Used in high-security areas and larger commercial premises.
- Video door entry / intercoms — A visitor presses a button, their image appears on a screen or app, and the occupant can remotely unlock the door. Available as audio-only, video, or app-connected systems. Standard for residential apartment blocks and increasingly popular in offices.
- Smart lock systems — Keyless locks that can be controlled via an app, integrated with a building management system, or connected to a broader security platform. Popular for short-let properties and flexible workspaces.
What Are the Benefits of Access Control?
Switching from a key-based system to electronic access control delivers multiple advantages:
- No more lost key costs — Replacing a key is free; replacing locks after a lost key can cost hundreds. Lost credentials are simply deactivated from the software.
- Audit trails — Every access event is logged with a time stamp and user ID. Invaluable for HR issues, security investigations, and compliance.
- Time-based permissions — A contractor can be given access only between 9am and 5pm on weekdays. A cleaner can access communal areas but not server rooms. Flexible and precise.
- Remote management — Add, remove, or amend user permissions from anywhere via a web dashboard or app. No need to attend the property.
- Integration with other systems — Access control can be linked to CCTV (cameras trigger on access events), fire alarms (doors unlock on evacuation), and HR systems (access auto-revoked when an employee leaves).
Do I Need Access Control for My HMO or Block of Flats?
Access control is increasingly popular with landlords and managing agents for several practical reasons. It eliminates the cost and inconvenience of cutting keys for new tenants, provides a security audit trail, and allows remote access management for out-of-hours issues.
For blocks of flats, a video door entry system is often a condition of the building's insurance and is expected by most tenants. For HMOs, a fob-based system can simplify the management of communal entry doors while improving overall security.
